Notes from the buildings a town cannot close.

Heating and cooling for churches, schoolhouses, town halls and the societies that meet in them — boilers tended across generations, ventilation balanced for assemblies, and a maintenance ledger written so the next volunteer treasurer inherits facts instead of mysteries.

THE TREASURER’S CLAUSE: every visit is logged against the building, not the person who booked it — so a change of vestry, board or caretaker never costs the building its history. The ledger belongs to the address.

Steeple & Study has kept the old buildings of Old Glossen and Bexley Vale since 1971: the Methodist boiler our founder’s father lit by hand, the schoolhouse whose classroom ventilation still runs on dampers he labelled, the town hall whose 1928 gravity system we have nursed through three boilers without touching its ornamental grilles.

The practice is slow on purpose. Institutional buildings punish improvisation — a wrong refrigerant charge costs a congregation a season, a mis-balanced damper costs a classroom its attention. So everything is measured, everything is filed, and the file travels with the building.

Carbon monoxide measured, flues scoped, the asbestos register read before any wrench turns. Old buildings carry old decisions; our first visit is always an inventory of them, in writing, for the file that outlives us all.

How the year goes

One building, one season

The rhythm of an institutional building is a calendar, not a queue — the work is sequenced around the congregation, the term and the assembly.

The inventory

A first visit that measures before it advises: boiler condition, ventilation reality, the hazards the decades left. The ledger is opened here, and it belongs to the address.

The season opening

Combustion analyzed and logged, interlocks tested, dampers exercised before the first frost — scheduled after Sunday and before the first rehearsal.

The midwinter watch

A February check on the systems carrying the hardest weeks, with emergency call at the day rate for contract buildings. Boards get one paragraph a month; nothing more, nothing hidden.

The ledger review

Each spring the year is written up — what was spent, what was deferred, what the next board should know. The document outlives every committee that reads it.

Our boiler predates every current member of the board. Steeple & Study’s ledger predates most of us too — we inherited it with the keys, and it is the only reason a new trustee can vote on the heating budget with a straight face. The capital plan ended twenty years of emergency motions.

They balanced the classroom ventilation over one February half-term, damper by damper, and left the CO₂ readings per room in the logbook. The teachers noticed before the sensors did. It cost the district less than the portables it was considering.

A pipe burst above the hall on the coldest Saturday of the year. The keeper who answered had our ledger open before he had his coat off, knew which valve isolated what, and the wedding booked for that afternoon went ahead. The invoice was the day rate. We checked.

The practice is kept deliberately small — two keepers, one apprentice, seventy-one buildings and no ambition to hold seventy-two. An institution deserves the person who read its file, not a rotation.

A building that cannot close needs a mechanic who cannot be surprised by it. That is the entire practice, and it takes forty years to compound.

Asked at the annual meeting

Do you work with volunteer boards and treasurers?

That is most of the practice. Proposals are written to be read aloud at a meeting: one page per decision, plain figures, and a five-year plan so no board ever buys a boiler in a panic again. We attend the annual meeting if the ledger needs explaining — no charge.

Our building is heritage-listed. Is that a problem?

It is the specialty. Gravity systems, ornamental grilles, boiler rooms that are themselves artefacts — we preserve the visible and modernize the invisible, and the consultation prints three paths (keep, convert, layer) so the heritage committee chooses with the costs in front of it.

What does the caretaker’s contract cover?

Two seasonal visits — season opening in autumn, a spring review — emergency call-out at the day rate whatever the hour, and the ledger maintained. Buildings under contract are visited by a keeper who has read their file, which is the point of keeping files.

Can you take over from the company that has always done it?

Gladly, and gently: the first visit is the heritage hazard survey and a reading of whatever records exist. Where the old company kept good notes we say so; where it kept none, the survey becomes the first page of a better book.

Do you install modern heat pumps in old buildings?

Where the survey and the committee agree it is right — usually as a layer beside the existing plant rather than a replacement of it, sized by a Manual J that accounts for heavy masonry. The 1928 gravity hall will outlive us all; the controls underneath it do not have to be 1928 as well.
